This Privacy Policy explains how Engine Room Coach collects, uses, stores, and protects personal information when you visit this website or use the Engine Room Coach app.

1. Who we are

Engine Room Coach is a software platform for fitness coaches to create, deliver, and manage coaching programmes. For privacy questions, contact us at hello@engineroomcoach.com.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Account details such as your name, email address, password, and team or business information.
  • Billing and subscription information processed through our payment providers.
  • Content you add to the platform, such as clients, training plans, check-ins, brand assets, and programme information.
  • Technical information such as IP address, browser type, device type, pages visited, timestamps, and basic diagnostic logs.
  • Messages you send to us by email, forms, support channels, or other contact methods.

3. How we use information

We use personal information to provide and improve the service, create and manage accounts, process payments, send product and service communications, provide support, monitor reliability and security, prevent misuse, and comply with legal obligations.

4. Legal bases

Where UK GDPR or EU GDPR applies, we process personal information under one or more legal bases: performance of a contract, legitimate interests, consent, and compliance with legal obligations.

5. Cookies and analytics

This website may use essential cookies and limited analytics to understand site performance and usage. Where required, non-essential cookies or tracking tools will be controlled through appropriate consent options.

6. Sharing information

We may share information with trusted service providers that help us operate the product, such as hosting providers, database providers, email providers, payment processors, analytics tools, and customer support tools. We do not sell personal information.

7. Client data added by coaches

Coaches are responsible for ensuring they have the right permissions to add client information to Engine Room Coach. We process that information to provide the service to the coach and their clients.

8. Data retention

We keep personal information only for as long as needed to provide the service, meet legal obligations, resolve disputes, maintain security, and enforce agreements. Account and billing records may be retained where required for tax, legal, or accounting reasons.

9. Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information. You may also have the right to withdraw consent where processing is based on consent.

10. Security

We use reasonable technical and organisational measures to protect personal information. No internet service is completely secure, so users should also use strong passwords and protect account access.

11. International transfers

Some service providers may process information outside the UK or European Economic Area. Where required, we use appropriate safeguards for those transfers.

12. Changes

We may update this Privacy Policy from time to time. The latest version will be posted on this page with the updated date.

Terms of Service

Last updated: 27 May 2026

These Terms of Service set out the basic terms for accessing this website and using Engine Room Coach. By using the website or app, you agree to these terms.

1. The service

Engine Room Coach provides software tools that help fitness coaches create training plans, manage clients and groups, deliver programmes, automate check-ins, and use AI-assisted workflows.

2. Accounts

You are responsible for keeping your account details accurate and your login credentials secure. You must not share your account in a way that allows unauthorised access to the service.

3. Acceptable use

You must not use Engine Room Coach to break the law, infringe another person’s rights, upload malicious code, attempt to access systems without permission, abuse the service, or interfere with platform security or availability.

4. Coaching and health disclaimer

Engine Room Coach is software for coaches. It does not provide medical advice, diagnosis, or treatment. Coaches are responsible for the training plans, guidance, and decisions they provide to clients. Clients should seek medical advice before starting a programme where appropriate.

5. AI-assisted features

AI features are provided to help draft, edit, and speed up coaching workflows. AI outputs may be inaccurate, incomplete, or unsuitable for a particular client. Coaches must review and approve all AI-assisted content before using it with clients.

6. Payments and subscriptions

Paid plans, pricing, billing periods, renewals, cancellations, and refunds are shown at checkout or inside the app. Subscription payments may be handled by third-party payment processors. You are responsible for keeping billing details up to date.

7. Your content

You retain ownership of content you add to the platform, such as client information, training plans, brand assets, and programme materials. You grant us the rights needed to host, process, display, and deliver that content as part of the service.

8. Our intellectual property

The Engine Room Coach website, app, branding, software, design, interface, and underlying technology belong to Engine Room Coach or its licensors. You may not copy, resell, reverse engineer, or misuse them except as allowed by law.

9. Availability

We aim to keep the service reliable, but we do not guarantee uninterrupted access. The service may be updated, changed, paused, or unavailable for maintenance, security, or operational reasons.

10. Third-party services

The service may rely on third-party providers for hosting, payments, email, analytics, AI processing, or other functionality. Their own terms and policies may also apply.

11. Limitation of liability

To the maximum extent permitted by law, Engine Room Coach is not liable for indirect, incidental, special, consequential, or loss-of-profit damages. Nothing in these terms limits liability where it would be unlawful to do so.

12. Termination

We may suspend or terminate access if you breach these terms, misuse the service, create security risk, or fail to pay applicable fees. You may stop using the service or cancel your subscription according to the cancellation process available in the app or billing portal.

13. Governing law

These terms are governed by the laws of England and Wales, unless consumer protection laws in another jurisdiction require otherwise.

14. Contact
